Terms & Conditions

Welcome to Giri Car Rental Pokhara. These Terms & Conditions ("Terms") govern the rental of any vehicle from Giri Car Rental Pokhara Pvt. Ltd. ("Giri Car Rental," "we," "us," or "our") through our website, phone, or WhatsApp. By submitting a booking request or collecting a vehicle from us, you ("the Renter") agree to be bound by these Terms.

1. Eligibility & Documentation

To rent a vehicle, you must:

  • Be at least 18 years of age (or the minimum age required under Nepali law to hold a valid driving licence for the vehicle category).

  • Hold a valid driving licence for the category of vehicle being rented. Foreign nationals must hold a valid International Driving Permit alongside their home country licence, or otherwise satisfy any requirement then in force under Nepali law for foreign nationals to drive in Nepal.

  • Present a valid government-issued photo ID (citizenship certificate, passport, or equivalent) at the time of pickup.

We reserve the right to refuse a booking or rental if the required documentation is not provided, appears invalid, or does not match the person collecting the vehicle.

2. Booking & Confirmation

  • Submitting a booking request through our website does not guarantee vehicle availability. A booking is only confirmed once our team has verified the vehicle, dates, and pickup details with you directly by phone or WhatsApp.

  • Rental rates, included services, and vehicle specifications are as displayed on our website or as confirmed in writing at the time of booking.

  • We recommend booking in advance during peak travel seasons, as fleet availability changes throughout the day.

3. Rates & Payment

  • Daily and package rates are quoted in Nepali Rupees (NPR) and are subject to change without notice for future bookings; the rate confirmed at the time of your booking is the rate that applies to your rental.

  • Fuel, tolls, parking charges, traffic fines, and any add-on equipment are not included in the base rental rate unless stated otherwise.

  • Payment terms (advance payment, balance on pickup, or full payment on pickup) will be confirmed with you before your rental begins.

4. Security Deposit

  • A refundable security deposit is required for every rental, in an amount confirmed with you before pickup.

  • The deposit is held as security against damage, loss, unpaid fines, unpaid fuel charges, or breach of these Terms, and is returned after the vehicle is inspected and returned in the agreed condition, less any deductions permitted under these Terms.

5. Fuel Policy

  • The vehicle is provided with a specific fuel level (or charge level, for electric vehicles) at pickup, to be confirmed on the rental checklist.

  • The vehicle must be returned with the same fuel or charge level, unless otherwise agreed. Vehicles returned with less fuel/charge will be refuelled or recharged at the Renter's cost, plus a reasonable service charge.

  • Electric vehicle renters are responsible for planning charging stops appropriate to their route; our team can advise on charging point availability at the time of booking.

6. Vehicle Use & Restrictions

The Renter agrees to:

  • Drive only within Nepal, unless prior written permission is given for cross-border travel.

  • Not sub-rent, lend, or allow anyone not listed on the booking to drive the vehicle.

  • Not use the vehicle for any illegal purpose, racing, off-roading outside marked roads, or towing.

  • Not smoke inside the vehicle or transport goods that could damage or contaminate the interior.

  • Comply with all traffic laws and regulations in force in Nepal, and bear personal responsibility for any traffic fines, tolls, or penalties incurred during the rental period.

7. Insurance & Liability

  • Vehicles are provided with insurance coverage as standard, details of which will be explained at the time of booking.

  • Insurance coverage is subject to the terms, exclusions, and excess amounts of the applicable policy. It does not necessarily cover every type of damage, loss, or third-party claim.

  • The Renter is liable for any damage, loss, or third-party claim not covered by insurance, including damage resulting from a breach of these Terms (e.g., unauthorised drivers, prohibited use, or driving under the influence).

8. Damage, Loss & Accidents

  • The vehicle will be inspected jointly with the Renter before pickup and after return, with any existing damage noted on a handover checklist.

  • In the event of an accident, breakdown, theft, or damage during the rental period, the Renter must notify Giri Car Rental immediately and, where relevant, file a police report before the vehicle is moved, if safe and lawful to do so.

  • Repair or replacement costs for damage not covered by insurance, up to the applicable excess or actual cost, will be deducted from the security deposit, with any shortfall payable by the Renter.

9. Cancellation & Refunds

  • Cancellations made a reasonable period before the scheduled pickup (e.g., 48 hours or more) are eligible for a full refund of any advance payment.

  • Cancellations made closer to pickup or no-shows may be subject to a partial deduction to cover holding costs.

  • In the rare case that we are unable to provide the confirmed vehicle due to circumstances beyond our control, we will offer a comparable alternative or a full refund of any advance payment.

10. Late Return & Extensions

  • The vehicle must be returned on the agreed date, time, and location. Late returns without prior agreement may incur additional daily charges at the standard rental rate, plus any costs arising from the vehicle being unavailable for a subsequent booking.

  • To extend a rental, contact us as early as possible — extensions are subject to vehicle availability.

11. Roadside Assistance

  • Roadside assistance is available for mechanical issues arising from normal use during the rental period. Contact our support line for assistance.

  • Roadside assistance does not cover issues arising from misuse, an accident caused by the Renter, or driving on routes unsuitable for the vehicle without prior agreement.

12. Termination of Rental

We reserve the right to end a rental early and reclaim the vehicle, without refund, if the Renter breaches these Terms — including unauthorised drivers, illegal use, or providing false documentation at booking.

13. Governing Law & Disputes

These Terms are governed by the laws of Nepal. Any dispute arising from a rental shall first be addressed through direct discussion between the parties and, if unresolved, shall fall under the jurisdiction of the competent courts of Pokhara, Gandaki Province.

14. Changes to These Terms

We may update these Terms from time to time. The version in force at the time of your booking confirmation applies to that rental.
